Refund and Cancellation Policy
返金・キャンセルポリシー
Version 0.91 · 6 October 2026
In short
You can cancel within 8 days of receiving your contract document and get everything back, including the enrolment fee, even if you have already had lessons. After that you can still cancel at any time while your package is valid: you pay for the lessons you have used, plus a cancellation charge capped at the lower of ¥50,000 or 20% of what is left.
1. Scope
This policy applies to Nihongo One Customized lessons (1-to-1, 1-to-2 and cohort) and to Nihongo One Foundation, provided online by Sena Lux Inc. It explains your statutory cooling-off and cancellation rights, how refunds are calculated, and the rules for changing or cancelling individual lessons. It forms part of our Terms and Conditions.
Your legal rights come first. Nothing in this policy limits your rights under the Act on Specified Commercial Transactions, the Consumer Contract Act or other mandatory law. If this policy and the law differ, the law applies.
2. Cooling-off (within 8 days)
- You may cancel your contract unconditionally within 8 days of receiving the contract document (契約書面), whether paper or electronic.
- Send the cancellation in writing or electronically, for example through the platform or by email to hello@nihongo.one. It is effective from the moment you send it.
- We refund everything you paid, including any enrolment fee, with no cancellation charge — even if you have already taken lessons.
- If the contract document is missing required information, the 8-day period has not started.
3. Cancelling after cooling-off, before your first lesson
We may keep no more than ¥15,000 in total, including any enrolment fee. Everything else is refunded.
4. Cancelling after lessons have started
You may cancel at any time during your package’s validity period. We refund the amount you paid minus:
- (a) lessons already used, valued at the contracted price per paid lesson. Lessons counted as used under section 6 (late cancellations and no-shows) are included; and
- (b) a cancellation charge equal to the lower of ¥50,000 or 20% of the remaining contract value.
Any enrolment fee is part of the contract value and counts within this limit — it is not charged on top. Bonus lessons have no cash value and are not refunded. We never value used lessons at a higher price than you paid.
Example 1 — 1-to-1, 30 lessons (¥186,000), cancelled after 10 lessons
- Lessons used: 10 × ¥6,200
- ¥62,000
- Remaining contract value: ¥186,000 − ¥62,000
- ¥124,000
- Cancellation charge: lower of ¥50,000 or 20% of ¥124,000
- ¥24,800
- Refund
- ¥99,200
Example 2 — the same package with a ¥15,000 enrolment fee (¥201,000 paid)
- Lessons used: 10 × ¥6,200
- ¥62,000
- Remaining contract value: ¥201,000 − ¥62,000
- ¥139,000
- Cancellation charge: lower of ¥50,000 or 20% of ¥139,000
- ¥27,800
- Refund
- ¥111,200
5. Expired lessons
Lessons must be used within your package’s validity period. Lessons that are unused when the validity period ends expire and are not refunded, and the mid-term cancellation right ends with the validity period. We send reminders about 60, 30, 14 and 7 days before expiry. For serious illness or hardship, you may ask for one pause of up to 30 days per package.
6. Changing or cancelling a single lesson
These rules apply to individual lessons. Cancelling a lesson does not cancel your contract.
- How to change or cancel a lesson
- Only through the Nihongo One platform (your booking page). Messages to a teacher, email or chat do not count. The time recorded by the platform decides.
- Changed or cancelled 24 hours or more before the start
- Free. The lesson returns to your balance.
- Cancelled less than 24 hours before the start
- The lesson is counted as used.
- You do not join (no-show)
- Your teacher waits 15 minutes. If you have not joined by then, the lesson is counted as used.
- You join late
- The lesson ends at the scheduled time.
- Problem with your own device or connection
- The lesson is counted as used if your teacher was available.
- Your teacher or Nihongo One cancels, or our platform fails
- Never deducted. We offer a replacement time and extend your package if needed.
- 1-to-2: one learner cancels late or is absent
- The lesson goes ahead with the other learner. Both learners’ lessons are counted as used. If both cancel 24 hours or more before, nothing is deducted.
- Cohort lessons
- Run as scheduled and are not moved for one learner. A missed lesson is counted as used; you receive the lesson notes and materials.
7. If we cannot provide your lessons
- If a lesson is cancelled by your teacher or by Nihongo One, it is never deducted and we offer a replacement time.
- If we cannot start your cohort within 30 days of the planned start date (for example, fewer than 3 learners), you may choose a new start date, switch to another format, or receive a full refund of the package.
- If we cannot continue providing lessons, unused paid lessons are refunded in full with no cancellation charge.
8. How to request a refund
- Request it through the platform (Account → Cancel package) or by email to hello@nihongo.one.
- We acknowledge your request within 1 business day and stop further bookings from that package.
- We send you a written calculation and pay the refund within 14 business days, to the original payment method where possible, in Japanese yen.
- We do not deduct card, transfer or administration fees beyond the limits in this policy.
9. Learners outside Japan
Our services are provided under Japanese law. If you live outside Japan, you may also have rights under the law of your country or your card provider’s rules; this policy does not limit them.
